Privacy Policy
1. Our approach to your privacy
Asian Outreach New Zealand (AONZ) respects your privacy and takes the protection of your personal information seriously. We collect and use information to enable us to communicate with supporters, process donations, run events and programmes, and carry out our work.
This policy explains what information we may collect, how we use it, when we may share it, and the steps we take to protect it.
By using our websites, mobile applications, services or other platforms, attending our events, or otherwise engaging with AONZ, you agree to the collection, use, disclosure and storage of your information as outlined in this policy.
2. Our legal obligations
AONZ complies with the New Zealand Privacy Act 2020.
We aim to handle personal information responsibly and in a way that reflects good ethical practice and the reasonable expectations of the people who support our work.
3. Information we may collect
The information we hold depends on how you interact with AONZ. This may include:

Information you give us: Your name, contact details, donation history, content preferences, payment and billing information, and other information connected with your Asian Outreach NZ profile.

Communications with donors and supporters
When you make a donation to AONZ, we may use the contact details you provide to stay in touch with you about our work. This may include stories and updates from our projects, as well as opportunities to support specific fundraising campaigns.
We see this as part of maintaining an ongoing relationship with our supporters. If you no longer wish to receive our email communications, you can unsubscribe at any time using the link provided in our emails or by contacting us directly.
6. How we use AI
We use AI carefully and with human oversight. It is a tool that can assist our communications work, but it does not replace the relationships, judgement and care that are central to AONZ.
AI may be used to help with tasks such as drafting, structuring or translating content. Before anything is published, a real person refines and edits the material and takes responsibility for the final content.
We do not use AI to invent people or stories. We believe the dignity of the people we serve and the trust of our supporters should not be compromised for the sake of efficiency.
7. When we share information
AONZ does not sell your personal information.
There are circumstances where sharing information with another organisation is necessary for us to carry out our work or meet a legal obligation. Where appropriate and lawful, we may share information with:

Payment gateways and other trusted service providers, including providers such as Stripe

Donor management, email and fundraising platforms, which may include services such as Keela, Mailchimp or Raisely, to manage supporter information, process donations and communicate with supporters

Asian Outreach partner offices overseas

Auditors, legal advisers and regulatory authorities where required
Trusted third-party providers may be located in New Zealand or overseas. Where we use these providers, we seek to ensure that appropriate data protection agreements and other information-handling obligations are in place.
Where personal information is sent overseas, we take reasonable steps to ensure it is handled in a way that is consistent with the requirements of the New Zealand Privacy Act 2020.
8. Cookies and similar technologies
Our websites use cookies and related technologies to help them function and to give us information about how they are being used.
Depending on the service, these technologies may be used to:

Payment security
When personal information, including credit or debit card details, is submitted through a secure connection, it is protected during transmission using TLS/SSL encryption. AONZ does not store full credit or debit card details in its own systems. Payment information is handled by the secure payment providers we use.
How long we keep information
We generally retain supporter information while there is an active relationship with the supporter or a potential need for ongoing stewardship.
This can include information connected with Gifts in Wills and situations where family members may continue a family's support of AONZ. For this reason, some supporter records may be kept indefinitely where retaining them is necessary to honour donor intentions or legacy gifts.
When information is no longer needed for stewardship, legal or compliance purposes, it will be securely deleted or anonymised in accordance with our internal retention policy.

Our approach to privacy may change as our organisation, technology and services develop. We may therefore update this Privacy Policy from time to time.
Where appropriate, we will provide notice before significant changes take effect. The current version of the policy will always be available on our website and will show the date it was last updated.
Your continued use of our services after an updated policy has been published constitutes acceptance of the updated terms.

Credit and debit card security
We take the security of payment information seriously.
When personal information, including credit or debit card details, is submitted through a secure connection, it is protected during transmission using Secure Sockets Layer (SSL) encryption. On most modern browsers, a secure connection can be identified by the padlock symbol in the browser's address bar.
You can also help protect your personal information by keeping your passwords and computer secure and logging out after using a service, particularly when using a shared computer.
